Privacy policy

This crew site is used by the Walled Lake Technical Production Staff to schedule auditorium work, track hours and prepare time sheets. This page explains what it collects and how that information is used.

Google sign-in

Crew members sign in with Google. The site asks Google only for your name, email address and Google account ID, and uses them only to match you to the crew account a supervisor created for you. It does not request or access your Gmail, Drive, Calendar, contacts or any other Google data. Use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

What the site keeps

• Your name, email, phone numbers, graduation year, member type and pay rate.
• Emergency contacts you or a supervisor enter.
• Time entries, clock in and out times, time sheets and co-op hours.
• Availability responses, shift assignments, skills and onboarding steps.
• Your email and text alert settings, including when you opted in to texts.
• Things you post or do in the site, like announcement reactions and Game of Trust rounds.
• Interest forms submitted at /interest: name, email, cell, school, graduation year and the answers on the form.

How it is used

Only to run the crew: scheduling, payroll and time sheets for the district, hours reports, and email or text alerts about your own work. Nothing is sold, rented or used for advertising.

Who can see it

You can see your own information. Supervisors, schedulers and payroll staff see what they need to run the crew. Emergency contacts are visible only to you and supervisors. Printed time sheets go to district payroll.

The site uses these service providers, which handle data only to provide their service:

• Vercel (hosting) and Neon (database)
• Twilio (texts and email alerts)
• Google (sign-in)

Cookies and your browser

The site sets one sign-in cookie to keep you signed in. Your browser also remembers a few display choices, like light or dark theme and the fog machine. There are no ad or tracking cookies.

How long it is kept

Time and payroll records are kept as long as the district needs them for payroll records. When someone leaves the crew their account is deactivated, not deleted, so past hours still add up. Interest forms can be deleted by a supervisor at any time.

Your choices

You can update your contact details and alert settings under My info. To ask for a copy of your information, a correction, or removal of something that isn't needed for payroll records, email matthewweber@wlcsd.org.

Changes

If this policy changes, the date at the top changes too.
